Solution

Overflow call handling for the calls your team is too busy to answer.

Your admit counselors are on calls. Another inbound rings — and rings out. DIAL3D catches that call, runs intake, holds the caller engaged in conversation, and either warm-transfers the moment a counselor is free or books a callback if the wait is too long.

Multi-facility operators miss 23% of inbound calls during peak hours.

Lunch, shift change, the 3 p.m. burst when families call after the kids are home — these aren't after-hours, but they're the hours where the team is most stretched. Voicemail isn't an answer for an admissions call.

Operational capabilities mapped to this use case.

Catches calls your team can't answer

Routes only when all your counselors are busy. Doesn't replace humans, supplements them.

Holds the caller in conversation

While the team's on other calls, agent runs intake. Caller stays engaged instead of hanging up.

Warm-transfer the moment one is free

Agent watches counselor availability. Transfers as soon as a counselor picks up a 'free' status.

Callback queue

If the wait exceeds your threshold, agent schedules a callback rather than holding the caller too long.

Crisis-priority routing

Active-risk callers skip the overflow queue, get immediate human handoff regardless of team availability.

Per-counselor availability detection

Integrates with your softphone presence so overflow only triggers when actually needed.

What does overflow actually cost?

Calls that ring through during peak hours and get voicemail. Probability-weighted lost admissions. Annual revenue loss in dollars.

Does this replace our admit counselors?
It does as much or as little as you want. In overflow mode the agent typically just catches the calls your counselors can't answer because they're already on other calls — but you can also have it run the full workflow (VOB, pre-admission, scheduling) on those overflow calls. You configure the scope per facility.
How does the agent know when a counselor is free?
Native presence integration with major softphones (RingCentral, Genesys, CTM, etc.). Plus configurable thresholds: 'overflow after X minutes wait.'
What if the caller wants their named counselor?
Agent asks. If a specific counselor is requested, agent offers a callback at that counselor's next available slot rather than handing off to whoever's free.
Can we run this only during specific hours?
Yes — overflow can be scheduled for peak hours only (e.g., 11am-3pm M-F) with after-hours handled by a different config.
What's the typical reduction in missed calls?
Operators we work with see overall missed-call rate drop from ~25% to under 3% within 30 days of overflow being enabled.
Does it affect our existing call queueing?
Configurable. Some customers route overflow through DIAL3D first; others have DIAL3D as the second-tier safety net behind their existing queue.
Is the caller told they're talking to AI?
Yes — disclosure in the first ten seconds, same as our other voice products.
Can the agent qualify and pre-screen before transferring?
Yes — agent runs the same intake script as the dedicated voice agent. Counselor picks up with full context.
